The very first requirement to carry out a student exchange within the framework of the Mevlana Exchange Program is a valid Mevlana Exchange Protocol between Eskisehir Technical University and the sending institution.  The Mevlana Exchange Protocol includes different subject areas.  Students have to contact their home university’s international affairs office in order to learn if a protocol between both institutions exist and if it includes their department.

Every academic year, Eskisehir Technical University informs partner institutions about the recent call for Mevlana Exchange Program and provides them with all necessary information. The sending institution is supposed to announce the call and send us the nominations until the given deadline.  

Application Requirements of Mevlana Exchange Program

In order to be a Mevlana Exchange Program student:

  • The students must be studying at associate degree, bachelor degree, master degree or PhD degree of higher education programs
  • Grade point average (GPA) of associate degree and undergraduate students must be 2.50/4.00 
  • Grade point average (GPA) of graduate students (MA, PhD) must be at least 3.00/4.00
  • 50% language score + 50% GPA
  • The students studying in their first year at associate or bachelor degree and the students of preparation classes and scientific preparation programs of graduate degrees cannot participate in this program at their first semester.

NOTE: Students can benefit from the Mevlana Exchange program only one time per study cycle.

The sending university have to send us following documents within the deadline:

  • Transcript of Records (in 4-point grading system)
  • Official Language Certificate
  • Candidate Student Application Form
  • List of all applications

After the assessment of applications, Eskisehir Technical University reports the assessment results to the Higher Education Council (YÖK). The Higher Education Council is responsible for the selections of accepted students. The results will be announced after the confirmation of Council of Higher Education.

Contractual documents

After the final list has been announced some documents must be sent to Eskisehir Technical University Office for International Affairs via e-mail as soft copy. The hard copies have to be submitted after the student’s arrival at Eskisehir Technical University.

 

Selected students are supposed to submit some documents before the mobility and also during the mobility to Eskisehir Technical University Office for International Affairs.

During Mobility

  • Student Scholarship Agreement (sets out the financial support and payment arrangements to the participant)
  • Student Declaration (Highlights the students' rights and obligations.)
  • Learning Protocol Add-delete page* (have to be prepared if the student changes the courses selected in the first Learning Protocol)

*LEARNING PROTOCOL

Learning Protocol is the most important document to get the scholarship. It has to be prepared before the acceptance letter sent to student.

It consists of 3 pages:

  • First page contains, Home University, Departmental and Institutional Coordinators’ ID and contact information. The student indicates the courses with codes and credit numbers that s/he is going to take at Eskisehir Technical University. The courses must be matched similar courses offered at the Home University. Lastly, the Departmental and Institutional Coordinator must confirm with their signature.
  • Second page contains space for the signatures of Departmental and Institutional Coordinators of Host University. If it is necessary Student may change the courses chosen at the first page. With add and deletes s/he may make changes on the LP.
  • Third page contains space for signatures of both, sending and receiving universities Departmental and Institutional Coordinators that confirms the changes of Learning Protocol.
  • Student may choose the courses that are mentioned at web-site of Host University. If S/he cannot find any information about courses, our Departmental Coordinator may be contacted to get more detailed information about the courses and their ECTS credits.
  • The Learning Protocol has to be prepared with 3 original hard copies, one original for sending university, one for the receiving university and one for the Mevlana Exchange student.
  • The amount of credit points taken at Eskisehir Technical University should be equivalent to the amount of credit points of a regular semester at the home institution.  In order to regulate the credit points, one course can be matched with more than one course but it must be clearly and understandable indicated at Learning Protocol.

As soon as documents have been completed, Office for International Affairs will prepare and send the Acceptance Letter to the Exchange Student. The most important document is Learning Protocol. Exchange Students prepare it with the aid of the Mevlana Exchange Program Coordinator.

Visa

Visas must be obtained from a Turkish Consulate, generally the one nearest your place of residence. Student Visas cannot be obtained within Turkey. You must take your "Letter of Acceptance" from Eskisehir Technical University and apply to the Turkish Consulate with the other required documents.

Please note that it may take up to 8 weeks to get the visa. You may find Consulate information through the Turkish Ministry of Foreign Affairs website: http://www.mfa.gov.tr

Insurance

Mevlana students have to obtain a valid private health insurance in Turkey. This is vital for applying for the residence permit. Please note that an ordinary travel insurance will not be accepted by the foreigners department. The insurance policy has to be in English and there must be stated explicitly an article which guarantee “inpatient and outpatient treatment abroad’’. Incoming students can also get health insurance in Turkey. It costs around 600 TL (220-230 €) for one year.

Please note: Resident students can benefit from Eskisehir Technical University's own medico-social facilities, located on İki Eylül Campus free of charge. 

Accommodation

There are two options for Mevlana students

Before your arrival, you will be assigned a suitable accommodation, a flat to share with Turkish Students according to your preferences stated in your “Housing Application Form”. Before moving to your assigned accommodation, (if needed) you can stay in the University Guest House up to 5 days free of charge.

Buddy Students (Mentor): You will also be assigned a buddy student as soon as you are accepted. Buddy students help you with your travel arrangements and inform you about the university, city and the country during your whole stay. As long as you inform your buddy student about your exact arrival date and time then your buddy student assist your pick-up.
