  • As the first step, the guide prepared for outgoing students must be read.
  • After the announcement of the student – partner institution lists, the office sends nomination e-mails to the partner institutions, indicating the students have been selected. Immediately after, students must make their application by considering the application dates of the Host Institution. Students must check for information including the application deadline, courses, academic calendar and application form on the web site of the Host Institution for application.
  • Required forms of the Host Institution are filled and sent to the Host Institution. The Learning Agreement, which is prepared with the help of the Department Coordinators, will be delivered to the UIB after it is signed by the student and the Department Coordinator. All documents left are delivered to students after 3 days. After this point, the student has to do two things:
  • The scanned versions of the documents should be sent to the host institution by e-mail. Originals should also be sent by mail if requested by the counterparty.
  • A copy of the learning agreement should be left to the Department Coordinator in order to get the Faculty Executive Board Decision on the relevant learning agreement.
  • 80% of the Erasmus grant cannot be transferred to the student's account unless the signed and stamped or sealed copy of the learning agreement is sent to our unit by mail and / or e-mail and the decision of the Faculty Administrative Board is received.
  • Participating in the orientation sessions on the announced dates is important for the smooth running of the process.
  • Students over the age of 24 who do not have a passport eligible for a visa can request a passport letter which states that student doesn’t need to pay any fee from the International Relations Unit.
  • The letter of acceptance can be sent to the student or the OIA team by the host institution. In case of documents reaching the OIA team, the student is informed via e-mail.
  • After the acceptance letter is received;
    ​
    • The student should inform the Department Coordinator about the arrival of the letter of acceptance. Thus, the process of taking the decision of the Faculty Administrative Board regarding the learning agreement of the student is started.
    • Documents of the mobility period should be submitted to UIB and a visa letter should be obtained. Documents are; Outgoing Student Information Form, A copy of Acceptance Letter, Insurance, 2 copies of The Grant Agreement (with a receipt from bank on it IBAN number is stated), Announcement Text, Learning Agreement, Faculty Executive, Committee decision, Visa Application Letter
       
  • The student must upload the letter of acceptance and the learning agreement to the Erasmusport software system under the Files heading.
  • The IBAN information of the Euro account number in the Erasmus+ Grant Contract should be written in the Grant-Bank-Payment section.
  • During the registration period of Eskisehir Technical University, a blank registration is required for Erasmus + mobility period without choosing any course. If you wish to make a change in the course program, the course change page of the learning agreement must be filled by consulting with Departmental Coordinator and verified by the Host Institution. The approved document is sent to UIB by e-mail or mail. Unless the course changes have been approved by the Executive Committee of Eskisehir Technical University and the related Faculty, the courses are not recognized. Changing the courses process is one month from the start date of the study.
  • Any situation that may affect the mobility process during mobility must be reported to the UIB and the Department Coordinator.
